How Renting Works

Step 1

Browse our on-line catalogue and decide on a property. If you have trouble choosing, use our on-line Vacation Planner and we will give you suggestions.

Step 2

Once you have decided on a property you can complete the on-line Booking Contract, sign and fax or mail it back to us, or if you prefer one of our staff will be happy to assist you. Please note that all information remains strictly confidential with RentaVilla.com.

Step 3

RentaVilla.com will contact the owner and book the property if it is available. Payment of either a 50% deposit (if booking more than 10 weeks before the rental) or the full contract amount (if booking within 10 weeks of rental) is due at this time. Payment can be made by check or credit card.

If you pay by credit card, your card will be charged at this point.

If you pay by check, your reservation will be secured upon receipt of your check, which must be no later than 7 days after our receipt of the signed Booking Contract.

Step 4

Once the payment is received a Confirmation Invoice will be mailed to you. This invoice will show the amount and due date of any balance due.

Step 5

10 weeks before the start of the rental period the final payment is due. As noted in Step 4 above, the amount and due date will be shown on the Confirmation Invoice.We strongly recommend that clients purchase Trip Insurance so they do not suffer a loss in case a medical emergency or certain other emergencies prohibiting them from traveling.

Step 6

About 3 weeks before your departure date a voucher will be sent with arrival instructions, detailed directions to the property, instructions on how you will receive the key, check-in and out times, the address and phone number of the property and authorization to stay at the property.

There will also be the name and telephone number of a local agent who will assist you with any questions you have while at the property.

Step 7

When you arrive at the airport or in the area, carefully follow the arrival instructions to meet the local representative and pick up the key.

Step 8

Depending on the property you may need to provide a security deposit in the local currency at the time of your arrival. These deposits usually run between $200 and $500, but must be given in the local currency. If this is required it will be specified in the Booking Contract.

Step 9

ENJOY YOUR VACATION LODGINGS! If anything should go wrong with the house while you are there, please call the local agent as the first step in resolving the problem. If the problem is not resolved right away, please call us so we can address the issue with the owner. In any case, if the issue continues for 24 hours please contact us!

Step 10

For departure arrange a time to drop-off the key with the local agent. At the departure checkout you will also receive back any local currency security deposits you placed and pay for any locally metered telephone or utility charges which are known at the time.

Step 11

If there are any charges which cannot be calculated at departure (such as telephone or heating use which is not monitored by a meter in the house) these will be billed to you once the property owner receives the bill from the utility (in Europe this is usually in about two months).

Additionally, we will be sending you a short survey. Please take a few minutes to complete the questionnaire about your experience at the property. Your feedback is vital to our efforts to provide our valued customers with an extraordinary vacation experience.
